Job Description:

OBJECTIVE:  Work in a team environment to provide value added service to our customers and sales teams, serve as the central point of contact for customers, input orders, manage customer inquiries, resolve problems, and work as an extension of the sales team to generate new business and grow existing business.

 

JOB DUTIES:

  • Answer incoming phone calls and emails from customers and sales team members.
  • Input sales orders, replenishment orders, consignment orders, demo tool orders, sample/trial orders, equipment on loan orders, billing orders, and credit & debit notes.
  • Work as an extension of the sales force by answering customer inquiries.
  • Assist the Sales team at developing new business and increasing existing business.
  • Pull daily open order report, analyze it, and take corrective action where necessary.
  • Research billing disputes & short pays, take corrective action (credit, debit, etc.) and notify credit manager of resolution.
  • Input new accounts and up0date current customer accounts within our internal systems
  • Provide professional relationship with customers by calling and/or emailing on a regular basis
  • Input sales orders, replenishment orders, demo tool orders, sample/trial orders, equipment on loan orders, billing orders, credit & debit notes.
  • Input customer price data as directed by the Price Adjustment Request process
  • Input Return Material Authorizations.
  • After material has been returned to Samuel's warehouse and quality control has provided the final disposition, the warehouse prepares credit note for non-consignment accounts.  If the return is consigned material, the CRT prepares an inventory adjustment form to adjust the total consignment inventory count.
  • Initiate, coordinate & arrange special billing for Material Transfers.
  • Communicate regularly with logistics for most cost-effective transportation of material.
  • Problem resolution & follow-up related to customer and or sales team inquiries.
  • Prepare customer consignment agreements.
  • Prepare, reconcile & invoice customer account monthly consignment inventory usage reports.
  • Send specific customer account consignment shipment information to sales team member.
  • Update customer data on monthly consignment spreadsheet.
  • Responsible for assisting sales team with administrative paperwork (PAR, New Product Request, RMA, monthly reports, Complaint Forms, etc.)
  • Communicate with other internal departments for information sharing & problem resolution.
  • Contribute in a Team environment.
  • Other related duties and responsibilities as requ8ired or assigned.

 

QUALIFICATIONS:

  • Prior customer service experience, listening skills, phone skills, documentation skills, analyzing information, conflict resolution, quality focus, problem solving, knowledge of MS Office.

 

REQUIREMENTS:

 

  • Prior customer service experience, prioritization and organization skills, phone skills, documentation skills, analyzing information, conflict resolution, listening skills quality focus, problem solving.
  • Minimum 2 years' customer service experience.
  • Knowledge of Syspro and Microsoft Office a plus.
